What kind of audio formats do you accept? 

 

We can accept virtually all audio/video formats. We prefer not to work with cassette tapes for two reasons. The quality is inferior to digital recordings which may, sometimes, result in a less than perfect transcript. We must also take the extra step of digitizing the audio for assignment to our transcriptionists. However, we'll work with you to come up with an optimal solution.
 

Can you produce documents using my company’s letterhead/style/formatting?  

Yes.

 

Why do you charge more for time codes? 
 

Simply put, time coding requires special software, a specially-trained transcriptionist, and generally just takes more time than standard dictation. 

 

How do I submit my audio files and receive my completed transcript? 
 

Upon registration, you will be given access to our secure file transfer site.  You can upload your digital audio or video files there.  When your transcript is completed, you will be notified by email and can download your transcript from the transfer site.  For smaller files, this process can be accomplished via regular email.


Do you accept handwritten documents?

Of course.  However, the rates will be charged on a "per page" basis.  Our usual rate is $2.00 per handwritten page. This may translate into a different number of typed pages. These rates may vary depending on the length of the document and/or difficulty of assignment (i.e., poor penmanship).  If unsure, submit a page for a free estimate of the total cost.  We'll be happy to work with you. 
 



How are errors and omissions handled? 
 

All transcriptions are proofread twice before being delivered.  In the case of five or fewer flagged items (see Transcription Guidelines), we will make every effort to accommodate your request for corrections at no charge.  However, we cannot be responsible for bad audio.  If large sections of the audio (more than 5 flagged items) were unintelligible, we will only make corrections on a payment basis.   Price will depend on the amount of re-work required. 

 

How do I get started using Zoom Transcription Services?  

  • Complete a Project Sheet.
  • Zoom Transcription will contact you and email you with your log-in instructions to file transfer site.
  • Upload files.
  • Receive an email and download instructions when transcription is complete. 

 

What payment methods do you accept? 
 

All payments are due immediately upon receipt of completed transcript.  An invoice will be sent with your transcript.  We prefer payment via PayPal for the first job that Zoom Transcription completes for you.  It’s fast, safe and allows you to pay using any credit card even if you don’t have an account.  However, we also accept checks and money orders.


 

What measures are taken if the audio length is different from the actual length once uploaded? 
 

We will contact you with any discrepancies and work will not begin on your job until the appropriate action is taken.      

 

What are your hours of operation? 

 

24/7.  However, turnaround times are based on business days (Monday through Friday).  For example, a 24 hour TAT submitted on Friday at 3:00 pm will be available on the following Monday by 3:00 pm.  Exceptions can be made for extreme emergencies at an extra charge.

 

What is the guarantee of my transcript’s confidentiality? 

 

Although we are not in the business of strictly medical transcription, all ZTS clients are treated with the same level of confidentiality as outlined in HIPAA regulations regarding privacy.  Our confidentiality policy is available upon request.  All transcriptionists employed by Zoom Transcription Services are required to understand, agree to, and sign this policy.
